EXECUTIVE ASSISTANT AND CLIENT SERVICE ASSOCIATE

THE OPPORTUNITY

Our client, a wealth management firm, is seeking an outgoing, detail-oriented professional to join their team. As an Executive Assistant and Client Service Associate, you will provide total support to one of the founding partners assuring he is operating at the highest possible level and that clients are getting exceptional client service. The position will include administrative tasks related to financial transactions and paperwork, as well as executive assistant activities.

Responsibilities:

  • Coordinate and complement activity with the team members who work most closely with founding partner on his client and prospect agenda items.

  • Screen and eliminate spam, calls from wholesalers, reading material to be addressed last.

  • Prioritize all emails and phone calls that the founding partner needs to respond to with attention paid to time sensitivity, client importance, and client need.

  • Ensure that the founding partner’s calendar is up to date, accurate, and coordinated with his personal calendar.

  • Guard founding partner’s family, personal, exercise and volunteer activity time priorities and act as a gatekeeper to avoid overscheduling requests from clients and associates. The ability to say “no”.

  • Screen client, attorney, and CPA requests via email or phone that would be more properly met by other team members. Help coordinate between team members as needed.

  • Provide prompt, accurate, and friendly customer service.

  • Follow up with clients on the founding partner’s behalf.

  • Address client administrative requests like preparing paperwork, coordinating with the custodian, processing money movement, and paperwork related to onboarding.

  • Become familiar with financial account types, custodial rules and limitations, and company's basic financial planning and investment process.

  • Help prepare for client meetings in conjunction with team members.

  • Manage the founding partner’s prospect pipeline and facilitate the communication of marketing materials to various Centers of Influence.
