TEAM ADMINISTRATIVE ASSISTANT

THE OPPORTUNITY

A small office in Bloomfield Hills is adding an Administrative Assistant/Executive Assistant to their positive, dynamic team. The group provides family office services to a local prominent family. This is a growth opportunity for a seasoned candidate, in a really nice environment. 

Responsibilities:

  • Provide executive level reception duties - be the "face" of the company. 

  • Office supply ordering/restocking.

  • Help with logistics for lunches and meetings, including food orders, set-up and  clean-up.

  • Assist with making and confirming reservations.

  • Help with logistics for fleet of vehicles, service appointments, registrations, certificates of insurance, etc. 

  • Credit card management including monthly reconciliations, posting transactions, and preparation of chargebacks. 

  • Issue checks from various checking accounts.

  • Monthly bank account reconciliations. 

  • Prepare, make and record bank deposits. 

  • Assist with Filing/Record keeping

  • Conduct Research as requested

  • Updating LinkedIn and company website as needed

  • Prepare handwritten Thank You Notes/Cards

  • Provide back-up to CEO’s Executive Assistant as requested

  • Track items for annual income/corporate tax filings

  • Provide back-up for taking minutes at Board Meetings, then transcribe and circulate

  • Assist with planning for hosting visiting partners and guests including arrangements for accommodations, meals, refreshments, meetings, agendas, events, etc.

  • Manage ordering, assembling, and shipping of corporate gifts

  • Run errands as requested

  • Order, wrap and ship gifts on behalf of CEO/Family as requested

  • Update and maintain investor contact information for various entities.

  • Screen and handle all incoming phone calls to main office line

  • Performs other related duties as assigned.

Qualifications:

  • Experience working with executives (3 yrs min).

  • Strong communication skills, attention to detail, discretion, and professionalism.

  • Organized, hard-working self-starter. 

  • Proficient in MS Excel, Word, Outlook and Adobe.
