A small office in Bloomfield Hills is adding an Administrative Assistant/Executive Assistant to their positive, dynamic team. The group provides family office services to a local prominent family. This is a growth opportunity for a seasoned candidate, in a really nice environment. 

Job Summary:

Objectives for this position include the ability to contribute to an administrative support team, to think and plan ahead, to complete responsibilities appropriately, and to manage time effectively.  This person will support the Management Team, as well as various investment and Non-Profit entities.

Responsibilities:

  • Provide Executive Level Receptionist duties – greet guests & partners with a super positive attitude as the “face” of the Company

  • Provide back-up to CEO’s Executive Assistant

  • Provide ad-hoc support to CEO and CFO as directed

  • Proactively coordinate with leadership in weekly planning, organizing events, activities, and calendars

  • Draft/prepare correspondences and presentations, ensuring clarity and accuracy

  • Conduct research as requested

  • Maintain filing and organizational systems, including management of digital records

  • Reconcile bank and credit card accounts monthly

  • Run errands as needed

  • Keep office stock replenished and organized

  • Manage special projects as directed

  • Track and help drive completion of projects/key deliverables; follow up on outstanding items

  • Make various reservations (airline, hotel, restaurant, etc.) for visiting partners, guests & Company

  • Plan, prepare, and assist in hosting visiting partners and guests (itinerary, accommodations, meals, pick-up orders, set-up & clean-up, etc.)

  • Help with logistics regarding fleet of cars, service appointments, registrations, certificate of insurance, etc

  • Manage ordering, assembling, and shipping of corporate gifts on behalf of CEO and Family

  • Assist with Board Meetings (material preparations, set-up, note-taking, clean-up)

  • Update and maintain company databases

  • Update social media platforms and company websites

  • Performs other related duties as assigned

  • Ensure the office is always neat and orderly

Qualifications:

  • Minimum of three years’ experience with increasing administrative responsibility in a service role to a key leader, project manager or team

  • Highly organized and detailed oriented.

  • Ability to multitask.

  • Hardworking, reliable, growth mindset, trustworthy, discreet, humble

  • Strong interpersonal communication skills; well-spoken

  • Punctual, “can-do” attitude, self-starter who assumes responsibility, can easily shift and be flexible as situations arise.

  • Can handle stressful or urgent situations with aplomb.

  • Project Management skills (specific experience is a positive)

  • Familiarity with legal documents (paralegal experience is a positive)

  • Competency with MS Office, Adobe and DocuSign
