THE OPPORTUNITY
A busy and growing wealth management firm in Bloomfield is seeking a detail-oriented professional to join their team. As an Executive Assistant, you will provide total support to one of our founding partners and report to the Client Service Manager, assuring our founding partner is operating at the highest possible level.
The position will include administrative tasks as well as personal assistant activities.
Responsibilities:

Ensure the following:

The founding partner’s calendar is up to date and accurate daily.

The founding partner is successfully using time blocking and other effective time management procedures to be maximally efficient and make ample time for business development.

The Client Service team is free from any EA responsibilities
-

Support all aspects of and become an expert of the founding partner’s work/life routine
-
Maintain the founding partner’s personal/work calendar and reflect M-F 9-5 items on team calendar
-
Assist in the development of presentations, papers, and meeting materials for internal audiences
-
Routinely perform a wide variety of personal and office-related support duties
-
Gift purchases
-
Personal appointment scheduling
-
Reservations/Bookings (Travel, etc.)
-
Monthly household orders
-
Liaise between partner's household and office
-
Document compiling, draft writing, transcribe material, printing, scanning, copying, and filing
-
Check deposits to Schwab account
-
Sort and triage mail/email
-
Answer phones
-
Greet clients and/or visitors professionally and pleasantly

Assist with preparation of marketing materials, mailings, and special projects
-
Prepare outgoing US Postal Service and UPS mail/packages as needed
-
Provide back up support for company calls, lobby, administrative, and other Client Service/EA responsibilities

Other additional and/or alternative duties as assigned from time to time
